Email Is Not Broken; We Are

Here’s an interesting perspective on the ‘problem’ of email…

There’s a constant flow of “email is/is not broken” articles across the internet, but most of them miss the point. Email as a system is not broken, but we, through our email behaviors, are.

Nearly all of the articles written recently about fixing email have concentrated on technology and building a better client or implementing the specs more closely or bringing two systems together. These are all great ideas and have a ton of value, but they will not fix the inherent issue that people are experiencing with email, but which most articles fail to articulate: we think email is broken because we are overwhelmed by it and get less real work done because of it.

So instead of asking how we can make email better/faster/cooler, we need to ask ourselves how we can get more work done while still using email. Unfortunately, many experiences have shown over the past decade or so that this problem is not easily solved by new technology, as much as I would love that. It is solved by teaching people better email behaviors. This is certainly a less sexy solution, but guess what? It’s the attainable one. Here are some ideas that I’ve come across from others, and that warrant further investigation. They are all designed to help us get more real work done, which is the real problem with the email timesink.

You can go to the source and read the author’s perspective, but while you’re here consider this: I think email is ‘broken’ because we let the wrong things in to begin with — in other words, we have no one to blame but ourselves. Most peoples’ inboxes are like their kitchen junk drawers – how can they expect to find anything of value in there? Instead, try using email only for ‘just in case’ information – information that affects relationships and revenue and all that goes along with it – and use an rss reader like Google Reader for all the ‘just in case’ info. That philosophy alone will make your email infinitely more manageable! As you get more efficient, you can add David Allen’s ‘Getting Things Done‘ principles to your approach…

As of today, this website is ranked 364,509 in the United States by Alexa — and thanks to my friends in the UK, it’s ranked 273,939 there [btw, I want to use my incredible influence there to say one thing: “Hey, British dudes! Google Reader is the killer app for ‘personal news aggregation’ for ‘thought leadership’ marketing. It all comes down to effectively managing rss feeds…

What is RSS?
An RSS Reader is a simple and easy way to read your favorite news site or blogs. Instead of going out to these site to read the most recent stories or posts, the newest stuff comes to you, all in one simple page. Even more convenient is having a Reader which is online, reaching it from any place in the world.

In my eyes Google Reader is one of the best online RSS Readers on the web. For the first time user, just getting used to the whole RSS thing, this post will talk about: a) How to subscribe to a feed b) view your feeds c) the cool features built into Google Reader and d) just some nifty little tricks you can use while you’re at it. Remember, being a master of your RSS feeds is also a very important way to build up and maintain powerful social media accounts :)

The first thing you would have to do, is head over to reader.google.com and sign up for a free account. From there, you would want to start building up your subscriptions.

Are you still getting email newsletters? I’m doing everything I can to eliminate them and keep my inbox for ‘just in time’ information only. Wait! Where do I get the information which was contained in those newsletters? Through newsfeeds. Here’s a post that might help you get started…

“Do you have a huge number of blog and news feeds in your feedreader that you can’t possibly keep up with on a daily basis? Or, on the other end of the spectrum, have you resisted deciphering those three little letters, RSS, and continue to check your bookmarked links regularly to see if your favorite web pages have updated?

Now there is a new — and incredibly simple — solution. Guy Kawasaki, whom I used to read in Macworld Magazine when he was the original brand evangelist, recently started a new network of websites called Alltop.com. Based on the popurls model, the sites — each focusing on a specific topic — show the latest five posts from a wide range of news sources and blogs covering that topic, all on one page. Topics include celebrities, health, “green,” social media, small business and many others.

I suggested to Guy that he create a “nonprofit” topic and worked with him to identify news and blog feeds that should be included. And that’s how nonprofit.alltop.com was born.”

Whether you take the Alltop approach or use the free Google Reader to subscribe to feeds — just do it! Getting newsletters out of your inbox and into your browser is a great way to resist following the rabbit trail of an interesting newsletter in the middle of your work. This one really has me scratching my head…

“One of the interesting trends of 2009 has been the gradual decline of RSS Readers as a way for people to keep up with news and niche topics. Many of us still use them, but less than we used to. I for one still maintain a Google Reader account, however I don’t check it on a daily basis. I check Twitter for news and information multiple times a day, I monitor Twitter lists, and I read a number of blogs across a set of topics of most interest to me.

Frankly I’m more likely to use Google Reader to search for specific information nowadays, than to scan my subscribed feeds for their latest posts. So what’s happened to RSS Readers. Personally, I consider mastering RSS feeds to be a key competitive advantage for thought leaders. I think the reason why RSS readers are in decline is because feeds are still hard for most people to master and they just don’t get it! Tactic #4: Use an external blog editor

Last week I covered tactic #3 in the tactics and tools series: blogging. Assuming that all my clients and readers went out and immediately launched a new blog by now you’re thinking to yourself ‘there’s got to be an easier way’. That easier way is to use a blog editor. Not just any blog editor; use ScribeFire. Jon M. of the Affiliate Business Advisor blog writes this:

“I mentioned previously in an older post how I have used various Blog Editing software, some have been good some have been complete crap and some fall, somewhere in the middle.

I just want to mention one that I have been using now for quite some time. Previously I was using software called Post2blog and I worked closely with the designer to add features in that I thought would make it better.

After Microsoft came out with their free Windows Live Writer software, the owner of post2blog decided to call it a day, and with it a number of features stopped working.

So i [sic] moved over to windows writer. I started to find that has numerous issues and was extremely slow to use. Posting videos was a nightmare though I believe they have fixed that now.

At which time I began looking for another editor to use to post to my multiple blogs.. i came across Free Scribefire which at the time seemed excellent but once again I found a ton of issues like you couldn”t align images which was a pain, they also had a number of other issues.. Yet I could see that it had potential if only the creator would fix some of the issues.

Well I have to say that the creator took the feedback from his users very seriously and I kid you not… within a matter of a month or 2 he had output at least 4 to 5 new updates to Scribefire… taking into account pretty much all of peoples requests.

Yet still there seemed to be a few issues that I ran into so i decided to create a video to show the owner..

And once again the owner took seriously the feedback and within a week had a new update out which included some of my suggestions

I love ‘Remember the Milk’!

The hosted task management system with the funny name is one of my favorite tools. Just this morning as I was hacking through my todo list, I tweeted that I was reminded what a great tool it is. Then, as fate would have it, I saw this post commemorating their 4th bday…
