Kick Off Your Web Project the Right Way

I don’t normally post over here very often but since this is a busy week for Todd I figured I would share a few things.  Normally I blog about making beer and staying productive but lately I’ve been spending a lot of time exploring project management, web development and freelance contracting.

Today I want to share with you some tips for getting a good start on a web project.  For those lucky souls to have hired a web consultant, defined a project and implemented it flawlessly then don’t waste your lunch hour here.  Get on Facebook or Twitter or something else and enjoy your time.

For those of us who have had projects go south here are my top four (yes, only four – if you have a fifth please add it to the comments to share with the rest of us) tips to kick off a web project the right way.

1. Clearly Define the End Result
I’ve worked with a lot of clients that expressed some vague goals like “I want a website” or “I want to rank in the #1 spot on Google for a generic keyword”.  These are not good goals to give to a consultant (unless you have a lot of money to burn, in that case – email me…). Handling Email; 5+ emails you should filter

Email is such a simple tool but it makes or breaks so many people’s productivity and it breaks my heart to see how many people struggle with handling it…

  • Facebook/Twitter/Social Media Notifications

  • cc:’s [This one is my own — and I’ll explain later]

You’ll have to go to the source if you’re interested in the full rationale behind these statements. #6 [the one I added] comes from seeing how email is used as a CYA tool in large corporations. I have a friend — let’s call her Sue — Sue is an important mucky-muck at a large manufacturing organization and she’s stuck in email hell. She’s a slave to Outlook and her BlackBerry. I would venture to say that 70% or more of the email she receives is CYA. How much easier Sue’s life would be if she’d only use Outlook to put all the emails where her name appears on the cc: line in a special folder to read later when she had more time. Or used the filter on her BlackBerry Enterprise Server to only send her the emails where her name appeared on the to: line. Sigh!

As the author says, these filters work particularly well with Gmail or Google Apps [both of which I use] to manage mail effectively.

“Once you’ve created some of these filters, GMail (what I use) has an option to immediately run them on whatever you’ve got in your inbox. Use this to instantly filter low priority items away so you can focus on what’s important.

Going forward, your filters will be applied to any new email that comes in. One more thought for those of you unlucky enough to be on MY emailing target list. I send ‘just in case’ info from my personal gmail account and important ‘just in time’ email from my e1evation account. If you’re smart, you’ll filter emails from toddlohenry@gmail.com and make sure emails from todd@e1evation.com are granted the HIGHEST priority! Those of you who are prolific emailers may want to grant your frequent recipients a similar escape hatch…

I just closed out my best blogging month ever traffic-wise. What was significant to me was that I did it in a ‘short’ month with no speaking engagements. Usually, when I have a chance to speak, my traffic spikes because all the seminar attendees check out my site — it’s usually good for a couple hundred pageviews. In February, however, I did it all on my own, post by post by post. I’ve already laid out all my tactics and tools in the series “Top 10 Tactics and Tools for Tightening your Tribe” and yes, I used them all this past month. I did make two significant changes, however. #1 I redesigned my site using the ‘Thesis’ theme which promises some kind of magic SEO foo and really seems to have delivered for me. #2 I experimented with spreading my posts out throughout the day. Instead of posting 3-5 posts at 6:00 AM, I spread them out every two hours or so throughout the day. Whether it was one, or the other, or both, my traffic’s going nuts!

HubSpot gives me a grade of 96 on my site, Google tells me I have 6,076 pageviews over the past 30 days and Alexa tells me my site is ranked 484,123 in the US. Not much left to prove from my perspective and the thing that excites me most is that my success is the result of a systematic process I can teach to anyone. I usually benchmark myself against local radio station WTAQ because I like to see how I fare against ‘old’ media in my market. They have an Alexa ranking of 116,615 which is really awesome. It thrills me that I’m actually ranked higher than local social media wunderkind Dana VanDen Heuvel [a good friend to e1evation], although I’m sure that won’t last long. He’s at 520,219…

I’m certain my traffic will drop some during the upcoming month as I’ll be directing a great deal of my creative energy toward three projects I announced in February. They are the Social Media Academy — an online training class on the top tactics and tools for effective social media, The Damn Good Social Media Guide — the accompanying ebook, and last? A weekly podcast. I’m currently looking for beta testers for the Social Media course. I love Google Voice!

Your online presence, that is…

I tried flavors.me. It’s cute. My take? It’s primarily geared toward casual online users that what a kind of internet ‘business card’ that puts all your online properties in one place…

If you’re really serious about getting it together on the internet, there are two tools that I recommend you use; Retaggr and Google profiles…

Retaggr has been around longer than Google profiles and I started using it over a year ago. Retaggr, which identifies itself as the ‘definitive online profile’ allows you to add your user name to any of the hundreds of social media tools they have inventoried. The result will be a nice profile like this that brings together all the stuff you’re doing online — they even give you a way to include the profile in your email signature!

More recently, Google has begun to offer a similar type of service. While it does not offer some of the bells and whistles that Retaggr [like widgets and gadgets, etc.] it does have the advantage of being smack on the Google backbone…

Fortunately/unfortunately, we’ve read this book before and Google wins in the end — at least for the next 5 years or so. One thing to be aware of. Google has a STOOPID process for adding you to the map…

You have to receive a pin via SNAIL MAIL. It’s the dumbest process in the entire Googlesphere but the benefits are worth the pain in the butt. imho, it’s one of the simplest and most effective ways a company can advertise their business. The information you enter about your business goes directly into the Google search engine and is immediately available to all those geeks who use Google Maps on their desktops or better yet, on their smartphones as they travel through your town…

7 social media tools for the news media

If I were a news media journalist what social media tools would I use to make my job easier? I attended a social media panel this morning hosted by news media journalists moving into the social media space and it made me think a lot about what tools I would use if I were in their shoes. Here’s what comes to mind…

First of all, I’d act like an editor and treat the millions of content creators on the internet as my personal little cub reporters. I’d harvest their content and build my stories using the following tools:

When it came to sharing the stuff I’d found, I’d use Shareaholic and some combination of the following tools to promote my reporting:

btw, I cheated on the first line — there are really nine tools in this post, but Google Reader + Google Alerts + Feedly all act as one unit to deliver a ‘virtual newspaper’ or magazine jam packed with valuable source content. Socialmention and Tweetmeme are good for ‘taking the pulse’ of a topic. The other tools depend on what type of tools are use for promoting content that’s been posted online. It kind of assumes the media outlet has a YouTube channel, etc., but that may be a pretty big assumption. Personally, I think the combination of Shareaholic + Posterous is the killer combination for promotion. Learn these two tools and you’ll be able to grab content FROM anywhere and post it TO anywhere so easily that you’ll be able add all those additional posting responsibilities without breaking a sweat!

Google Reader and Feedly

“If you use an RSS reader to subscribe to and read blogs (and you should) then you know what a great tool it can be to keep you up to date, well-read and inspired.

I’ve used the free Google Reader tool for a long time and love it’s simplicity. However, a reader of this blog (Rob Kirby) pointed out a very cool tool called Feedly that takes my subscriptions and creates a much better looking magazine like interface. To me better looking translates into more useful when it comes to scanning a hundred blogs or so. Feedly immediately brought all of my feeds and organization folders over from Google so set-up was instantaneous.

But that’s just the beginning. Feedly is a Firefox add-on that functions using my Google Reader account so all my Feedly activity is still saved to Google Reader. Adding blog subscriptions as simple as a click, but I can also pages I find, video, images, anything I want to bookmark and organize. I won’t lie — I have been a massive fan of Gmail since day one — I’m convinced [to paraphrase Benjamin Franklin’s famous quote on beer] that it is ‘proof that God loves us and wants us to be productive’. The benefits are too numerous to mention, but here are a few that pop to mind at this moment…

  • The ability to search your email using a special Google syntax means you’ll rarely [won’t say never] lose another email
  • Ample storage for all your email and documents online so that important stuff is always available
  • The ability to use Gmail as your corporate email through Google Apps
  • As a web-based product it’s completely cross platform and available from computers down to smartphones
  • It gets better almost daily whereas other email clients must go through a long development cycle to provide updates

btw, I still use Outlook and Thunderbird daily, and I have used AppleMail and tried the Postbox beta [Note: you can use them all in conjunction with Gmail if you’d like]. None of them can touch Gmail’s ability to simply and effectively process that never ending river of correspondence. Nothing’s worse than knowing the answer is in your inbox but not being able to find it — I see colleagues wrestle with their email clients every day trying to solve problems that are simple for Gmail users. Sigh. If only they knew how to use Gmail like I do…

Afraid of making mistakes online?

Are location-based services overrated?

“Despite the buzz around location-based services, I have been ambivalent, if not skeptical about the technology.As much as social media has encouraged people to share information, I have not been convinced there is the same amount of enthusiasm for broadcasting your location.There’s the issue of privacy, as well as few “rewards” for telling the world your location.

In many respects, however, being unconvinced about the potential of location-based services has been like a Don Quixote-like experience, particularly when you’re an enthusiastic member of the social media community. The idea that you don’t really buy into the next new thing seems almost sacrosanct.

It was interesting and, to be honest, encouraging to read Joshua Brustein’s column in yesterday’s New York Times about whether the excitement surrounding location-based services is being driven by technology companies and investors, while consumers only seem modestly interested.

Brustein’s column came on the heels of a Pew Internet and American Life Project survey that discovered only 4% of Americans use location services like Foursquare and Gowalla, compared with 5% last May. Even among smartphone-toting 18 to 29-year-olds, only 8% use location-based services.

It may just be that location-based services won’t be widely embraced. Or it could be that location-based services have yet to find their sweet spot. However you want to explain it, the reality is location-based services have failed to live up to lofty expectations as social media’s next hot thing.

Perhaps Facebook’s entry into the market will change things, particularly if consumers are attracted to the link between the company’s Places and Deals services.

Or maybe not. It could be that most people have no use for location-based services despite the best efforts of companies and investors.

When I teach ‘curation’ as a form of blogging, I usually say that the author’s comment can be ‘yes, no or maybe so’. In this case, my response is a ‘maybe so’, but I’m leaning toward no. Let me tell you why…

Something like 87% of Americans have cell phones. Of that, 25% have smartphones. That number is projected to grow to 50% in 2011. The default mapping application on the two fastest growing platforms is Google Maps. Google just released a new product called Hotpot that makes it easy for patrons to write reviews directly on to Google Maps. Think about the implications. Say someone’s driving through Algoma, WI on their way to Door County and they’re looking for a place to grab a bite. They check Google Maps to see the options and as they try to decide, they check the reviews from Hotpot directly on Google Maps. Unfortunately, earlier that week someone had a rare bad experience at one of their choices. Do you think that won’t have an impact?

Michael Moon quoted Peter Drucker astutely in his book ‘Firebrands’ over a decade ago when he said that we’ve moved beyond the information age to the aged of ‘trusted relationships’. I believe that tech-savvy people with smartphones are going to change the face of American retail business by holding retailers accountable through mobile tools that allow them to report good or bad experiences immediately as they happen. These ‘trusted’ mobile ‘relationships’ will have the power to guide purchasing decisions at the mobile ‘point of sale’ like an endcap in a grocery store, directing potential customers to the ‘right’ place. Smart business owners will keep an eye on this trend…

Tactic #8: Use ‘branded’ email

I took a little time off from my ‘tactics and tools’ series — no one’s paying attention in December anyway, right? ;-)

Now that everyone’s waking up from the holidays it’s time to get back on track with tactic #8 — using ‘branded’ email. ‘Branded’ email? What’s that? ‘Branded’ email is email that comes from a professional domain and supports your brand. Excuse me for ranting about one of my biases for a sec, but it drives me nuts when I see an entrepreneur using their sbcglobal, att, charter, road runner, etc. isp domains for conducting business — especially when there’s a great tool like Google Apps for Business! Every email is a chance to advertise your business by using a domain that points to your Facebook page or website. Besides, there’s nothing that screams ‘mom & pop shop’ more than using your personal home account to try to bring in that big deal…

Google Apps hits the ‘good, fast and cheap’ trifecta. Simple, yet powerful! A couple of years ago, I worked with a local entrepreneur in Green Bay that had an office with 7 people. He wanted the benefits of Microsoft Exchange and Sharepoint for his team and spent $35,000 [first year acquisition cost of $5,000 per employee] for the hardware, software, licensing, and labor to acquire those benefits. Here’s the dirty little secret; there was no benefit he acquired that could not have been done better than Google Apps at the cost of $50 per user per year…

Wow! A lot of cool features you say, but is it safe?

“Google applications provide a variety of security features, says Eric Ogren, a security analyst with the Enterprise Strategy Group. For one thing, “you have to have authority to get in. Users can determine policies of who looks at a particular document, the amount of collaboration offered, and users have the flexibility to store data on their corporate laptop or have Google do it for them.”

Every once in awhile…

…I stumble upon something that I had used once and had forgotten and can’t remember why I stopped. This morning I fell in love with Shareaholic all over again…

Why is this important? Let me try to net it out quickly…

Finding a great website may help you advance your knowledge but what if you had a way to share it with others that required little or no additional effort? Wouldn’t that be worth it? Sure, there are some websites that I keep for my own private use, but for the sites that contain good information for my ‘followers’, I can post those sites to my ‘rooms’ in FriendFeed and they show up as featured articles in the right hand column of my blog. That way, these bookmarks benefits me as well as the rest of the world and make my site more of a destination because of the valuable resources that are there! I got this from Seth Godin who got it from the Google dictionary…

“A brand is the set of expectations, memories, stories and relationships that, taken together, account for a consumer’s decision to choose one product or service over another. If the consumer (whether it’s a business, a buyer, a voter or a donor) doesn’t pay a premium, make a selection or spread the word, then no brand value exists for that consumer.

A brand’s value is merely the sum total of how much extra people will pay, or how often they choose, the expectations, memories, stories and relationships of one brand over the alternatives.

A brand used to be something else. It used to be a logo or a design or a wrapper. Today, that’s a shadow of the brand, something that might mark the brand’s existence. But just as it takes more than a hat to be a cowboy, it takes more than a designer prattling on about texture to make a brand. If you’ve never heard of it, if you wouldn’t choose it, if you don’t recommend it, then there is no brand, at least not for you.

If you hear a designer say this, “A TCHO Chocolate bar, with its algorithmic guilloche patterns, looks like a modern form of currency. “Modern” was always part of the brand brief — no faux traditionalism, but resolutely forward-looking for a new generation of chocolate enthusiasts…” then I wonder if there’s a vocabulary disconnect.

Design is essential but design is not brand.
