Handling Email; 5+ emails you should filter

Email is such a simple tool but it makes or breaks so many people’s productivity and it breaks my heart to see how many people struggle with handling it…

“How many emails do you have in your inbox right now? Are you an inbox zero freak like me? Or do you have emails piled up and unread that you’re hoping you’ll get time to get to?

I’m not judging – I used to have as messy an inbox as anyone. And even now, if I go on vacation or don’t check my email for too long, I can get in a heap of trouble: the email piles up, and it can be a real chore getting back to my empty inbox.

I’ve got a few tips up my sleeve though to make dealing with email a little less painful – and I’ve found the best defense is a strong offense. Here are the 5 types:

  • Newsletters
  • Forwarded articles
  • Comments and pings from my blog
  • Facebook/Twitter/Social Media Notifications
  • Store Promotions
  • cc:’s [This one is my own — and I’ll explain later]

You’ll have to go to the source if you’re interested in the full rationale behind these statements. #6 [the one I added] comes from seeing how email is used as a CYA tool in large corporations. I have a friend — let’s call her Sue — Sue is an important mucky-muck at a large manufacturing organization and she’s stuck in email hell. She’s a slave to Outlook and her BlackBerry. I would venture to say that 70% or more of the email she receives is CYA. How much easier Sue’s life would be if she’d only use Outlook to put all the emails where her name appears on the cc: line in a special folder to read later when she had more time. Or used the filter on her BlackBerry Enterprise Server to only send her the emails where her name appeared on the to: line. Sigh!

As the author says, these filters work particularly well with Gmail or Google Apps [both of which I use] to manage mail effectively.

“Once you’ve created some of these filters, GMail (what I use) has an option to immediately run them on whatever you’ve got in your inbox. Use this to instantly filter low priority items away so you can focus on what’s important.

Going forward, your filters will be applied to any new email that comes in. One more thought for those of you unlucky enough to be on MY emailing target list. I send ‘just in case’ info from my personal gmail account and important ‘just in time’ email from my e1evation account. If you’re smart, you’ll filter emails from toddlohenry@gmail.com and make sure emails from todd@e1evation.com are granted the HIGHEST priority! Those of you who are prolific emailers may want to grant your frequent recipients a similar escape hatch…

Taking your expertise for granted

This post from Darren Rowse has me thinking about myself and the people in my trusted network…

“I recently was chatting with a new blogger and they made the comment that after 3 weeks of blogging that they’d run out of things to write about. They had written 10 posts so far but felt that they’d nothing else to share of value on the topic.

What surprised me about their comments was that the blogger was actually a seasoned pro in their niche. They were new to blogging about their topic but they’d been working in their industry for 25 years and were seen as an expert in their field…. yet they didn’t feel like they had anything to say about the topic!

I dug a little deeper and it turned out that the reason for their issue was not that they didn’t have much to write about – but that they were taking for granted the level of knowledge that they actually had. Are you one of those that doesn’t appreciate the fact that she’s an expert? Well — you’re wrong! You don’t get to this point in life without having gained expertise at something. Your expertise might only be interesting to 100 people on the planet, but by blogging, you’ll find them. Or more likely they’ll find you…

Having taught classes before on ‘finding your gift’, the one thing I’ve learned is that the more you exercise your ‘gift’, the more it feels like breathing. In other words, it becomes so natural that it’s just a part of you. And who would be interested in little old you?

Well? Your wrong. You’re an expert and your point of view is interesting to other people who aren’t as far along their path. Or who are. Or who are ahead of you. Here’s a dirty little secret; there are no experts. The body of knowledge is expanding so fast that no one can master it all. Your point of view is a valuable part of the puzzle but no one will ever know it unless you make your point of view public; searchable, findable and knowable!

How do you get started? I’ve researched all the tools and I haven’t found anything easier or more powerful than Posterous and the Posterous bookmarklet. Your expertise can turn you into a thought leader if you’ll only publish and promote your work! “Nielsen recently released a new report that officially documents what many of us already know, just never substantiated through data. According to a study published at the end of January 2010, Nielsen observed the online social activity of consumers around the world and discovered an 82% increase in time spent on social networking sites in December 2009. On average, users spent more than five and a half hours on popular networks such as Facebook and Twitter in December 2009. Getting it together

Your online presence, that is…

I tried flavors.me. It’s cute. My take? It’s primarily geared toward casual online users that what a kind of internet ‘business card’ that puts all your online properties in one place…

If you’re really serious about getting it together on the internet, there are two tools that I recommend you use; Retaggr and Google profiles…

Retaggr has been around longer than Google profiles and I started using it over a year ago. Retaggr, which identifies itself as the ‘definitive online profile’ allows you to add your user name to any of the hundreds of social media tools they have inventoried. The result will be a nice profile like this that brings together all the stuff you’re doing online — they even give you a way to include the profile in your email signature!

More recently, Google has begun to offer a similar type of service. While it does not offer some of the bells and whistles that Retaggr [like widgets and gadgets, etc.] it does have the advantage of being smack on the Google backbone…

Fortunately/unfortunately, we’ve read this book before and Google wins in the end — at least for the next 5 years or so. I think author Lewis Howes is a little over the top here in his praise for LinkedIn, but I still think he’s worth quoting…

Me personally? I think that Facebook has stolen LinkedIn’s lunch money. What I mean by that is that 5 years ago, LinkedIn was the serious tool for business social networkers and Facebook was the place where you spied on your kids. LinkedIn lost its popularity to Facebook which continues to gain momentum in the business space. I consider LinkedIn to still be one of the ‘big 3′ social media tools, but it’s a distant 3rd to Facebook and Twitter. Exception? LinkedIn continues to succeed in some business communities like Northeast Wisconsin where we are traditionally slow to adopt and slow to let go so it cannot be overlooked as part of a comprehensive social media campaign. Tactic #9: Leverage the ‘homebases and outposts’ strategy

It has been awhile since I wrote about tactic #8; using branded mail…

Today I’m going to talk about the third pillar of the e1evation system; promoting your online brand and reputation through the leveraging of homebases and outposts. Pillars 1 and 2 are ‘finding your passion’ and ‘publishing’. Once you’re publishing and you’ve found your voice, it’s time to promote your content through the use of social media outposts. Chris Brogan starts us off here…

“Social networks are great places to meet new people, to build new business relationships, and to learn about information from non-traditional sources. But another great way to use social networking sites is as an outpost. What do I mean by this? Jobs vs. Obama in the ultimate ‘reality distortion field’ knockdown. Who won? The results may surprise you…

“Two events dominated discussion last week: the unveiling of Apple’s iPad and President Obama’s State of the Union address. Leading up to last Wednesday, many wondered if Apple’s event would overshadow Obama’s. On social media, that was certainly the case.

Monitoring Twitter, YouTube, Facebook, blogs and the rest, social media analysts at Viralheat found over half a million mentions of the two happenings. Those mentions were overwhelmingly related to Apple’s new tablet computer.

As the infographic explains, however, even if Apple had the buzz, Obama brought the honey. Are location-based services overrated?

Please consider this…

“Despite the buzz around location-based services, I have been ambivalent, if not skeptical about the technology.As much as social media has encouraged people to share information, I have not been convinced there is the same amount of enthusiasm for broadcasting your location.There’s the issue of privacy, as well as few “rewards” for telling the world your location.

In many respects, however, being unconvinced about the potential of location-based services has been like a Don Quixote-like experience, particularly when you’re an enthusiastic member of the social media community. The idea that you don’t really buy into the next new thing seems almost sacrosanct.

It was interesting and, to be honest, encouraging to read Joshua Brustein’s column in yesterday’s New York Times about whether the excitement surrounding location-based services is being driven by technology companies and investors, while consumers only seem modestly interested.

Brustein’s column came on the heels of a Pew Internet and American Life Project survey that discovered only 4% of Americans use location services like Foursquare and Gowalla, compared with 5% last May. Even among smartphone-toting 18 to 29-year-olds, only 8% use location-based services.

It may just be that location-based services won’t be widely embraced. Or it could be that location-based services have yet to find their sweet spot. However you want to explain it, the reality is location-based services have failed to live up to lofty expectations as social media’s next hot thing.

Perhaps Facebook’s entry into the market will change things, particularly if consumers are attracted to the link between the company’s Places and Deals services.

Or maybe not. It could be that most people have no use for location-based services despite the best efforts of companies and investors.

When I teach ‘curation’ as a form of blogging, I usually say that the author’s comment can be ‘yes, no or maybe so’. In this case, my response is a ‘maybe so’, but I’m leaning toward no. Let me tell you why…

Something like 87% of Americans have cell phones. Of that, 25% have smartphones. That number is projected to grow to 50% in 2011. The default mapping application on the two fastest growing platforms is Google Maps. Google just released a new product called Hotpot that makes it easy for patrons to write reviews directly on to Google Maps. Think about the implications. Say someone’s driving through Algoma, WI on their way to Door County and they’re looking for a place to grab a bite. They check Google Maps to see the options and as they try to decide, they check the reviews from Hotpot directly on Google Maps. Unfortunately, earlier that week someone had a rare bad experience at one of their choices. Do you think that won’t have an impact?

Michael Moon quoted Peter Drucker astutely in his book ‘Firebrands’ over a decade ago when he said that we’ve moved beyond the information age to the aged of ‘trusted relationships’. I believe that tech-savvy people with smartphones are going to change the face of American retail business by holding retailers accountable through mobile tools that allow them to report good or bad experiences immediately as they happen. These ‘trusted’ mobile ‘relationships’ will have the power to guide purchasing decisions at the mobile ‘point of sale’ like an endcap in a grocery store, directing potential customers to the ‘right’ place. Smart business owners will keep an eye on this trend…

“There are two schools of thought when it comes to marketing brands online and the presence they need.

1. Build a website that houses everything – all of your text, images, audio and video – in one, centralized, location.
2. Use the existing platforms and build your presence within their community (Facebook, YouTube, Twitter, etc…).

Both have merit, and you can also do a little bit of both. For example you can house all of your branded content in your own website, and use the existing online communities to set-up outposts (as Chris Brogan calls them) – a specific Facebook Fan Page or a YouTube Channel – to further promote what you’re about with strong links back to your mothership (or website). You can also use a Facebook Page as your home base and direct people to a microsite for more information or to gather more data from them than Facebook might allow based on their terms of service. Personally, I advocate for owning your own space, building it and nurturing it and using those other/existing platforms to promote or extend the brand. Tactic #8: Use ‘branded’ email

I took a little time off from my ‘tactics and tools’ series — no one’s paying attention in December anyway, right? ;-)

Now that everyone’s waking up from the holidays it’s time to get back on track with tactic #8 — using ‘branded’ email. ‘Branded’ email? What’s that? ‘Branded’ email is email that comes from a professional domain and supports your brand. Excuse me for ranting about one of my biases for a sec, but it drives me nuts when I see an entrepreneur using their sbcglobal, att, charter, road runner, etc. isp domains for conducting business — especially when there’s a great tool like Google Apps for Business! Every email is a chance to advertise your business by using a domain that points to your Facebook page or website. Besides, there’s nothing that screams ‘mom & pop shop’ more than using your personal home account to try to bring in that big deal…

Wow! A lot of cool features you say, but is it safe?
