If Gmail is so easy, why do people still have hundreds — thousands — of unread emails in their inboxes? In part it’s because technology without good thinking and tactics means nothing…

I teach my students that email should be for ‘just in time’ information — information that affects relationships and revenue. Everything else belongs in Google Reader! My friend Dana VanDen Heuvel of The Docking Station talked me into revealing my secrets for effective email handling at an event that happens next week. Here’s Dana’s press release…

I haven’t done a screencast for awhile, so here’s a quick riff on Getting Things Done [GTD] in Gmail with Google Tasks…

Effectively managing email is fundamental. So many people are at the mercy of their inboxes! Ethan Waldman had a great post this morning over at The Minimalists that got me thinking about my own minimalit approach to Gmail. I hope he doesn’t mind if I curate a chunk of his thoughts here:

In everyday life, we hear the phrase “less is more” so often that it’s become cliché. But the number of people who actually live a “less is more” lifestyle are few and far between. Of course, when it comes to paring down, some areas of our lives are a lot easier to address than others. Getting rid of the majority of your possessions is difficult due to the emotional connections we have with our things.

There’s one area that I think is relatively untapped, in which adopting a more minimalist mentality isn’t too difficult, and offers huge gains in the form of time savings,and stress reduction.

That area? Email.

Think about it: For most of us, our email inboxes are the epicenter of our lives. Personal and professional communication all mixed up in a stew of disorganization.

The newest things are on top. Older things are pushed to the bottom or onto the next page, with no regard for importance. Most are things that don’t require immediate action—things we could read later, file for reference, or delete right off the bat.

Before I addressed this problem in my own life, the volume of email I received created the perfect opportunity to procrastinate. I could avoid responding to the more important messages by cleaning up and moving around the unimportant ones.

The task of maintaining my inbox took precedence over actually taking action, as critical items would get pushed down the page and I would deal with the junk that just kept flowing in on top. This task was complicated by the fact that I had both personal and professional emails all flowing into the same place with no system for determining which was which.

The solution to my problem only came after I realized that I didn’t need any other product, app, or gadget to solve it. The tools that I needed were already built into the mail program I use (Gmail), and I only needed to learn how to use them to create a better system.

The basis of my system is what Gmail refers to as filters. A filter is a set of actions that you tell Gmail to enact when it finds a message that matches specific criteria. If you get a message like X, do Y to it. Simple, but powerful.

Over the course of years of experimenting and trying things out, I developed a system that keeps my inbox automatically rganized.

The changes I’ve experienced as a result have been what you might expect: Of the time I spend dealing with email, I spend the majority of it writing or responding to important messages. I spend a small fraction of it actually organizing or finding the important things. They are automatically called out and highlighted before I ever open my inbox.

Gmail is by far the most popular mail service out there, but do you think that most people using it have created a system that organizes their email? Doubtful.

What’s holding you back? Just like getting rid of your possessions, deciding what email is important and what email isn’t forces you to choose. You do have to let go of certain things and decide they are less critical than others. It’s this process of letting go that people often have trouble with.

Some of the things I ultimately decided I could let go were all social media email notifications, nearly all email newsletters, all “deal” or coupon notifications, and all message board notification.  This list may be a starting point for you—the point is that every person must decide for themselves what they are willing to forgo seeing “at the top” of their inbox, in order to gain more clarity and focus on what they define as important.

But where to begin? Focus on what’s important. Create a folder or just use the star in Gmail to start collecting samples of messages that you find are important. Do this over the course of 1 or 2 weeks, and you will soon have a good sampling of what should be high priority in your inbox. Now you can look through them and determine how you’ll teach Gmail to treat the message. Is it from a specific person? Certain domain? Specific subject? Does it have an attachment?

These are all criteria that can be used when you create your filters and teach your inbox to organize itself.

I’m sure you know someone who keeps every single message in their inbox. They never move things into folders, they never delete anything. They never organize. And they defend their system—they don’t want to change because they see no need to. They are happy living with an overflowing email inbox, just like other people are happy living in a house stuffed to the gills with things they never use, or a smartphone overflowing with apps.

In my own life, I’ve found that my inbox minimalism rippled into my business and personal live. The time it took me to respond to important things decreased, and everybody was happier as a result. Less email, truly became more time.

At the end of the day, the choice is yours on what, if anything, you decide to implement. I promise positive effects of your efforts will be felt in and outside your email inbox.

He posted a recent article on the topic of Facebook pages recently and this is one of the rare times I need to take issue…

“Q: I’m a small business entrepreneur, and I’ll be introducing a consumer product soon. Should I create a website for my company or a Facebook fan page?

A: I faced a similar question a few weeks ago for my book, Enchantment: The Art of Changing Hearts, Minds, and Actions. I had three options: create a site for the book, add a section for the book to my existing website, or create a Facebook fan page.

After five minutes of thoughtful deliberation, I decided to add a bare-bones section to my website (which I haven’t gotten around to do yet—which should tell you something) and create a Facebook fan page but not to create a website for the book. Guy goes on to elucidate 4 reasons why he did not choose a website and 8 reasons why he chose a Facebook page along with 3 potential ‘gotchas’ — go to the source and read the entire article if you’d like…

Here’s where Guy and I part thinking. In business, the answer is rarely either/or. Frequently it’s both/and. Guy’s advice is great for someone launching a product or a book, but it’s not really great long term advice for an entrepreneur launching a company. As a short term strategy I recommend that entrepreneurs buy a domain, set up Google Apps and create a Facebook page. Google Apps will give them the ability to send corporate email from their domain and their domain name can be temporarily directed toward their Facebook page until they build a blogsite. This will give them a total ‘appearance package’ that will allow them to look professional immediately while they contemplate their website and further social media strategy and tactics…

On this issue I side with author Lisa Barone who recently posted…

“Brace yourself: Facebook is trying to take over the world. Or, if not the world, at least the entire Internet. With Facebook partnering up with popular sites like Yelp, many SMB owners may feel as if their load got lighter. I mean, why waste time worrying about your building your blog or your own site when you can grow your Facebook presence instead? If Facebook’s opening up the doors so that people can take you with them, you don’t have to worry about anything else anymore, right?

Wrong!

Reason #1 she cites? “You don’t own Facebook”…

The problem with Facebook from my perspective is that you’re not only a renter, you’re a free renter and you can expect all the rights and privileges thereof. In other words, you have no rights on Facebook — not even privacy. You use it at your own risk. Facebook can — and has — made major changes to their technology without notice or recourse. Using a Facebook page is a great place for an entrepreneur to start but not to stay. I agree with Chris Brogan, Darren Rowse and other internet visionaries who propose an internet ‘homebase and outpost‘ strategy that puts a blog at the center of your online presence. The key is that you have to own that presence and be ‘master of your domain’ name and internet brand…

In the future, these homebases may become less important as more people understand the wisdom of David Sauter and his team at Envano. Their ‘autobahn’ model describes a future where a website becomes less important as a company embraces appropriate social media tools to build their internet presence, but the lack of an ‘easy button’ or unified social media dashboard makes this more of a future vision than a present reality…

Last week, I finally got control over my Facebook place and immediately I went to merge it with my page. No joy! I brought the issue to the attention of Facebook and this was there response: “We are aware of the problem that you described and apologize for the inconvenience. Unfortunately, we do not have a specific date for when this issue will be resolved but hope to fix it as soon as possible. We appreciate your patience.”

Back in February we wrote about Facebook’s secret Project Titan — a web-based email client that we hear is unofficially referred to internally as its “Gmail killer”. Now we’ve heard from sources that this is indeed what’s coming on Monday during Facebook’s special event, alongside personal @facebook.com email addresses for users.

This isn’t a big surprise — the event invites Facebook sent out hinted strongly that the news would have something to do with its Inbox, sparking plenty of speculation that the event could be related to Titan. Our understanding is that this is more than just a UI refresh for Facebook’s existing messaging service with POP access tacked on. Rather, Facebook is building a full-fledged webmail client, and while it may only be in early stages come its launch Monday, there’s a huge amount of potential here.

Facebook has the world’s most popular photos product, the most popular events product, and soon will have a very popular local deals product as well.  It can tweak the design of its webmail client to display content from each of these in a seamless fashion (and don’t forget messages from games, or payments via Facebook Credits). And there’s also the social element: Facebook knows who your friends are and how closely you’re connected to them; it can probably do a pretty good job figuring out which personal emails you want to read most and prioritize them accordingly.

Brace yourself! Here it comes…

People no longer want to be sold to; they want companies to help them find an informed way to buy the right product or service at the right price. They still watch ads, but often online rather than on TV, and they’re much more likely to view ads that friends have recommended. When something goes wrong with a product, they want to be able to reach the company instantly and get a quick solution.

How companies adapt to this energetic and sometimes chaotic world will define their future success. The website, Facebook page, blog and Twitter feed are no longer add-ons to a business’s communication budget: They should be central to its marketing strategy, and used in coordination with other marketing efforts.

As a first step in addressing your problem, make sure your site is set up not just to handle transactions, but also for communication – and that when customers leave comments or send emails your team always follows up. Depending on the channels you choose, this might mean helping your customer service staff adapt to new methods of communicating. Once they have, you must continue to keep in touch with customers yourself.

In the past, I would ask Virgin customers to write to me with problems or ideas, and I often called people to talk about the problems that came up. It was a great way to check on our businesses’ quality and standards – though many of the complainants believed one of their friends was playing a practical joke on them. To this day, I try to answer as many e-mails as I can and encourage our executives to do the same.

Beyond customer service, you may need to consider that the old divisions between advertising, marketing and public relations have broken down, so it’s time to review how your marketing team works. Virgin Atlantic recently created a Social Relations team to manage the combined media space and to make sure our sites and communications are current and interesting, maintaining the cheeky flair that characterizes the brand.

Now Cheryl Cole Fans Can Check-In To Billboards

Brands have moved quickly to incorporate Facebook Places into their advertising strategy, with the latest campaign urging people to “check-in” to billboards across the UK for singer Cheryl Cole.

TechCrunch reports that the campaign, designed by media agency MediaCom and Polydor Records, gives fans a chance to win two free tickets (plus travel and hotel) to one of her X Factor shows.

There has long been an alliance between mobile and outdoor in the advertising world. For several years many advertising posters and billboards have been built with QR codes or Bluetooth receptors to enable consumers to download more information. Location check-in is a natural evolution, as smart phones becoming increasingly widespread. The Cheryl Cole billboards are among the first for Facebook Places, but a similar concept was used earlier in the summer when Gowalla users were invited to “check-in” to a giant billboard for the New Jersey Nets in New York City.

Other innovative uses of Facebook Places since its launch in August include a marketing campaign for the University of Kentucky, singer James Blunt using Places check-ins to reward concert goers with free music downloads, and a scavenger hunt in San Francisco for Giants baseball player Tim Lincecum.

5 Things Every New Facebook User Should Do Immediately

How to Combine Your Facebook Profile for Both Business and Pleasure

Despite publishing intimate details of their life, most people view Facebook as a very personal network; as a platform for pleasure not for business. But if you’re anything like me, your Facebook friends consist of people from a cross section of your life; some personal friends who you’ve known for years, some work colleagues and some contacts from your professional network. They may include anyone from your best mate to your mum to your boss to an industry peer, and that makes the humble status update a potential nightmare. Do you really want your boss to see the banter you have with your mates about the girl you pulled on your drunken night out? Do your friends really care about your industry blog posts or your work chat?

The psychology behind this dynamic leads to many people I know breaking Facebook rules and setting up two profiles; one personal profile and one professional profile. After all, you should never mix business with pleasure, isn’t that the mantra? But wouldn’t it be great if you could personalise your Facebook profile to every single one of your friends, giving each of them status updates and shared content that is specifically relevant to them and leaving out the stuff that isn’t?

Well, in actual fact, you can. Clever use of Facebook’s Lists feature means that you can keep your personal friends largely separate from your work colleagues, publishing different content to different groups on the same page while ensuring that never the twain shall meet. With Lists you can dice and splice your Facebook friends in as many different ways as you like, effectively presenting a personalised profile to each different one of your friends depending on their interests, your relationship with them and what you want them to see (and not to see). For once in your life you really can keep all of the people happy all of the time.

You can create as many lists as you like, from simply one for ‘friends’ and one for ‘work’ as in my video example, to multiple lists. Importantly if you’re going to get very targeted with it, any friend can belong to more than one list.

With new Facebook Groups, FriendFeed’s gone mainstream. Two years late.

What’s really striking about the new Facebook Groups is that they truly are “FriendFeed gone mainstream”.

When I first saw the new Facebook Groups I thought, “My, they look a lot like FriendFeed”. That’s no surprise either, the team that pioneered realtime discussion and sharing groups at FriendFeed now works at Facebook and its co-creator Bret Taylor is now CTO there.

FriendFeed was, and still is, loved by a loyal following for its fast, powerful social sharing and discussion possibilities. Just before Facebook bought the company last year it really had become something special, a technical feat of beauty that I loved. The problem was that the mainstream public never took to it. It was just too… well, geeky. Now with the newly re-imagined Facebook Groups we see how FriendFeed can finally be accepted by the masses – by being less geeky, more streamlined… and built right into Facebook.

Like FriendFeed, Facebook Groups have the ability to share and discuss text, images, photos, videos and links in realtime. The ability to import feeds is missing, as are other “advanced” features of FriendFeed like cross-posting, exporting RSS feeds, posting via emails and the like, but by stripping those out what we have here is essentially FriendFeed’s vision gone mainstream.

People certainly seem to be taking to the new groups’ potential. Here at The Next Web we already have lively Apps and Apple groups among others, and Robert Scoble has a group for tech news reporters and bloggers that has got off to an interesting start.
